Fair Use Policy

The short version

Your Otofill Core plan is £12 a month. It comes with generous monthly allowances on the things that cost us money to run — and for most small businesses, that's the whole bill. If you go past an allowance, you pay a small per-item fee from a prepaid credit balance you top up yourself. Nothing here can ever bill you by surprise.

What's included each month, and what it costs after

Every Core plan includes the following free allowances each calendar month. Allowances reset on the 1st and don't roll over.

What counts as "one"

So there's no ambiguity, here's exactly what each counted item means.

Item	Counts as one when…
Sales invoice	you finalise (issue) an invoice. Drafts, edits and re-sends of an already-issued invoice don't count again.
Email	we send an email on your behalf — an invoice, statement or reminder to a customer.
Receipt scan	a receipt image is processed to pull out its details. Only applies if you've switched on the Receipt Scanner.
Payslip	a payslip is finalised in a pay run. Only applies if you've switched on Payroll.

How credits work

You top up your credit balance in advance, from £10 at a time.
It's one shared balance — the same credit covers invoices, emails, scans and payslips.
Credits never expire. Once they're in your balance, they stay there until you use them.
Turn on auto-top-up and we'll add a set amount whenever your balance runs low, so you're never interrupted. Leave it off and we simply pause the paid extras until you top up — nothing can overcharge you.

Optional add-ons

Apps you switch on from the App Store are separate from your Core plan. Many are free; some that cost us per use (like the Receipt Scanner) are free up to a monthly allowance, then draw from the same credit balance. A few are a flat monthly subscription — for example Open Banking is £6 a month for up to 3 connected bank accounts. You only ever pay for an add-on you've switched on.

Refunds

Credits are non-refundable. They're there to spend on usage within Otofill, not a deposit you can withdraw — so it's best to top up only what you expect to use. And because credits never expire, nothing you've added goes to waste.

If you close your account, any remaining credit can't be cashed out. (The full refund terms apply once you're a customer and are set out in your account.)

Fair use

Allowances are sized for normal small-business use. We may step in if an account is used in a way that's clearly abusive or automated at a scale these allowances aren't meant for. (The detail of this clause is being finalised.)

Changes to pricing

We'll give reasonable notice before changing any allowance or per-item rate, so nothing changes without you knowing first.
